WhatsApp’s 24-hour customer service window allows a business to send free-form messages to a customer for 24 hours after the customer’s last message. Outside that window, only pre-approved template messages can be sent until the customer replies again, and only to people who have opted in to hear from you, according to Meta’s WhatsApp Business Platform documentation. That means a good Dubai follow-up system sends the personal, free-form messages inside the window, and reserves templates for later prompts that are genuinely useful.

Three WhatsApp follow-up templates that feel human

These are not copy-paste scripts. Replace every field with real details and adjust for the property, area and developer. The goal is to sound like an agent who knows the building, not a broadcast.

Template 1 — right after a portal enquiry (inside the window):

Hi {{first_name}}, thanks for your enquiry on {{property_name}} via {{portal_name}}. I’m {{agent_name}} from {{brokerage}}. The unit is still available this week. Would you like the floor plan and the current availability for viewings?

Template 2 — after a viewing:

Hi {{first_name}}, it was good to show you {{property_name}} today. I’ve attached the brochure and the payment plan summary. If you’d like to see similar units in {{building_name}} or off-plan options in {{area}}, let me know and I’ll send a short list.

Template 3 — 48 hours after no reply (outside the window, so this must be a pre-approved template sent only to a buyer who opted in):

Hi {{first_name}}, I wanted to be sure you saw my last message about {{property_name}}. A new unit in the same building was listed at {{price}}. If that property isn’t the right fit, tell me what you’re looking for and I’ll send three alternatives by tonight.

Escalation rules for unresponsive leads

When should a lead be escalated or repooled?

Escalate when an agent has made two qualified follow-up attempts with no reply after three business days. Repool when there has been no engagement after seven days and no viewing is scheduled. The rules below stop leads from dying in an agent’s inbox.

  1. No reply after 4 hours from the first WhatsApp and call: automation creates a second-attempt task for the next morning.
  2. No reply after two attempts: automation notifies the team leader and the lead is flagged for review.

How to measure follow-up quality

Which metrics show whether automation is helping or hurting?

Track five numbers weekly, split by lead source (portal, WhatsApp, referral):

  1. Median first response time — should be under 5 minutes for portal leads.
  2. Follow-up attempts per lead — if automation sends five messages but agents send none, personal follow-up is broken.
  3. Reply rate per sequence — low replies to automated emails often mean the template sounds generic or the timing is wrong.
  4. Lead-to-viewing conversion — the only metric that proves the sequence moves deals forward.
  5. Opt-out and unsubscribe rate — a rising rate means you are automating too much.

Repooling rate is also useful: if leads are frequently repooled after automation but never receive a personal call, the system is masking a sales problem, not solving one.

Frequently asked questions

Can I automate follow-ups on WhatsApp without breaking Meta’s rules?

Yes, if the buyer has opted in to hear from you. Inside the 24-hour customer service window you can send free-form or template messages. After the window closes, you may only send pre-approved WhatsApp templates until the customer replies again. Automation must run through the WhatsApp Business Platform, not personal accounts. How many follow-up attempts is too many for a Dubai property lead?

Three to five meaningful attempts over two weeks, each adding new value, is enough. After that, move the lead to a nurture sequence or repool it. More than eight attempts without a reply can annoy buyers and damage sender reputation on WhatsApp and email. Each attempt should reference the original enquiry and the exact property.

Will automated messages hurt my deliverability on portals?

Portal lead delivery is not affected by your automation. Email deliverability depends on your own sending practices: keep lists clean, include an unsubscribe link, avoid spam trigger words in subject lines, and send from a domain you control.
