What Does a Dubai Brokerage Actually Pay for Software in 2026?

A ten-agent Dubai brokerage can price four of its six software categories. CRM, WhatsApp, marketing and invoicing come to roughly AED 2,026 a month at the lean end and roughly AED 4,008 at a realistic one. The other two, Property Finder and Bayut, publish no prices at all.

What does a ten-agent Dubai brokerage actually pay each month?

Six categories, priced as far as public information allows. Where a price is not published, the table says so rather than estimating, because an invented number in a cost article is worse than an admitted gap.

That gives two honest totals for the four categories that can be priced.

Lean configuration: REM AED 990 plus Wati AED 804 plus Mailchimp Standard AED 73 plus Zoho Books AED 159 equals AED 2,026 a month, or AED 24,312 a year.

Realistic configuration: PropSpace AED 1,760 plus Wati AED 804 plus Mailchimp Premium AED 1,285 plus Zoho Books AED 159 equals AED 4,008 a month, or AED 48,096 a year.

The gap between the two is almost entirely the marketing platform, and that is not a rounding difference. Mailchimp's published USD 20 Standard price applies to a database of up to 500 contacts. A brokerage that has been trading for two years in Dubai has more than 500 contacts, so the AED 73 figure describes a company that does not exist. Any cost article quoting the entry price of a contact-tiered tool as the price is quoting a number nobody pays.

Neither total includes the two portal lines, and for most Dubai brokerages those are the largest software costs in the business.

Why can nobody tell you what Property Finder and Bayut cost?

Because neither publishes a price, and that is a deliberate commercial choice rather than an oversight.

When checked on 7 September 2026, Property Finder's broker-facing pages carried no subscription figures, package tiers or listing-credit rates. Bayut's agent portal described Profolio and DevConnect in detail, invited agencies to "advertise with Bayut today", and asked for contact details so the team could reach out. No numbers anywhere.

The practical consequence for a brokerage owner is that the two biggest lines in the software budget are the two you cannot benchmark. You do not know whether the agency down the road pays more or less than you for the same listing quota, and neither portal will tell you.

Three things follow, and they are worth acting on.

Treat the portal spend as negotiable, because it is. A price that is never published is a price set per customer. That is the definition of a negotiation.

Get the renewal date into a calendar you actually look at. Quote-only vendors renew quietly. The month before renewal is the only month you have leverage.

Price the portals separately from everything else. They are lead acquisition, not software. Judging a CRM against a portal subscription is comparing the cost of the pipe to the cost of the water.

Anything a comparison article tells you about Property Finder or Bayut pricing that carries a specific figure is either quoting one brokerage's private contract or making it up. This one is not going to do either.

What does the CRM line cost across UAE vendors at ten agents?

The CRM is the one category in the stack where published prices are common enough to build a real comparison. Four of the seven UAE-built products publish, and the spread between cheapest and dearest is more than three to one.

Read that table honestly and WIYO is the second most expensive CRM on it at ten agents. WIYO PRO includes fifteen seats, so a brokerage running ten agents is paying for five it is not using, at roughly AED 550 per active seat against REM at AED 99. The per-seat economics only work when the seats are filled: at fifteen agents PRO is roughly AED 367 a seat, and at fifty, ENTERPRISE at AED 9,900 is roughly AED 198.

What do the WhatsApp, marketing and invoicing lines actually cost?

WhatsApp is the line most brokerages underestimate, because the subscription is only part of it. Wati's published Pro plan is USD 99 a month including five users, with each additional user at USD 24 a month, so ten users comes to USD 219, roughly AED 804 (checked 7 September 2026). On top of the subscription, Meta charges per message. Since 1 July 2025 the WhatsApp Business Platform has priced per message rather than per conversation, with marketing, utility and authentication templates charged and service messages free (Meta's WhatsApp Business Platform pricing documentation, checked 7 September 2026). UAE rates sit on Meta's interactive rate card and change, so budget the subscription as fixed and the messaging as variable. Marketing is the line that scales without warning. Mailchimp's Standard plan is USD 20 a month at up to 500 contacts with five seats, and Premium is USD 350 a month for unlimited contacts and users (checked 7 September 2026). The price you sign up on is not the price you pay in year two, because it moves with the size of your database and your database only goes one way.

Invoicing is the cheapest and least contentious line. Zoho Books' UAE edition is published in AED: Standard AED 69 for three users, Professional AED 129 for five, Premium AED 159 for ten, and a free tier for organisations under AED 200,000 annual revenue (checked 7 September 2026). At ten agents, AED 159 a month, or AED 120 on annual billing, is the whole cost.

Three lines, three different pricing shapes. One is per seat, one is per contact, one is per organisation. That is a large part of why brokerage software budgets are so hard to forecast: the categories do not scale on the same axis.

The row that decides this for most brokerages is not a price. It is "where time-to-first-contact is measured". A stack of four tools has no single place where a lead's journey from arrival to first human contact is recorded, which means the number cannot be reported, which means it cannot be managed. That is a capability difference, not a discount.

The two rows underneath it are the ones that decide it for growing brokerages. Every per-seat line in a fragmented stack rises with headcount at the same time. A platform price that includes seats does not.

What is the Tool-Juggling Tax, and how do you calculate yours?

The Tool-Juggling Tax is the cost of the gaps between tools. It does not appear on any invoice, which is exactly why it goes unbudgeted.

It has four components, and only the first is visible.

1. Licences. The AED 2,026 to AED 4,008 above, plus two portal lines nobody will quote you.

2. Re-entry. Every system that does not receive data automatically receives it from a person. A lead captured in the CRM and then pasted into the WhatsApp tool and then added to the marketing list has been entered three times.

3. Reconciliation. When the CRM says 340 leads and the marketing platform says 297, somebody spends an afternoon working out which is right. This happens monthly in most brokerages and is never counted as a software cost.

4. Leakage. The leads that fall into the gaps. A portal enquiry that never reached the CRM, a WhatsApp conversation that never reached the lead record, a viewing booked in a calendar nobody else can see.

WIYO has not measured components two, three and four across UAE brokerages and will not publish a number it has not measured. What it can give you is the arithmetic to measure your own, which is more useful anyway.

The calculation, with your figures rather than ours:

  • A = minutes per agent per day spent moving or reconciling data between tools. Ask three agents to log it honestly for one week.
  • B = number of agents.
  • C = working days per month.
  • D = your fully loaded cost per agent hour, which you know and we do not.

Monthly Tool-Juggling Tax = (A × B × C ÷ 60) × D

Run it with ten agents, twenty working days and a figure of your own for D, and the result usually sits in the same order of magnitude as the entire licence stack. That is the finding worth acting on: the invisible half is roughly the size of the visible half, and it is the half nobody puts in the budget.

Every number in that formula is yours. None of them is a statistic from us, and you should be suspicious of any vendor, including this one, that hands you a Tool-Juggling Tax figure it did not measure in your business.

Which costs are hidden in the contract rather than the price?

Five, in rough order of how often they surprise people.

Minimum terms. PropSpace carried a 12-month minimum and an AED 500 monthly floor when checked on 26 July 2026. Leadrat billed annually with a ten-user minimum at AED 199 a user, so the entry ticket is AED 1,990 a month whether you have ten agents or six. A twelve-month minimum on a product that turns out to be wrong in month three is a ten-month cost with no benefit attached.

Onboarding fees. HubSpot Sales Hub Professional requires a one-time USD 1,500 onboarding fee and Enterprise a one-time USD 3,500 fee, roughly AED 5,505 and AED 12,845 (checked 7 September 2026). These are real money and they do not appear in a per-seat comparison table.

Annual-only billing. Salesforce Pro Suite and above, and HubSpot's annual rates, are annual commitments. The headline per-seat price is the annual price; the monthly price is higher where it is offered at all.

Per-message and per-contact charges. WhatsApp templates are charged per message by Meta on top of any tool subscription. Marketing platforms are charged per contact. Both scale with success, which is the worst time to discover them.

Exit cost. The one nobody prices. If your data cannot leave in a usable form, the cost of a wrong choice is not the licence, it is the migration. Ask every vendor for a sample export file during the demo and check whether it contains activity history or only contact records.

What should a Dubai brokerage budget for 2026?

Three honest brackets, all excluding portal subscriptions because nobody publishes those.

Solo agent to three agents. Budget AED 400 to AED 1,200 a month for everything except portals. REM at AED 100 a seat, Zoho Books' free tier if turnover is under AED 200,000, and Mailchimp's free tier at up to 250 contacts covers a genuinely small operation. WIYO SOLO at AED 1,000 sits at the top of this bracket and buys portal ingestion and WhatsApp in the same place.

Five to fifteen agents. Budget AED 2,000 to AED 5,500 a month excluding portals. This is the bracket where fragmentation starts costing more than it saves, because it is the first point at which no single person can inspect every lead. WIYO STARTER at AED 2,650 for five seats and PRO at AED 5,500 for fifteen both sit inside it.

Fifteen to fifty agents. Budget AED 5,500 to AED 12,000 a month excluding portals. Per-seat pricing dominates at this size, and every additional agent multiplies four or five separate lines at once. WIYO ENTERPRISE at AED 9,900 for fifty seats works out at roughly AED 198 a seat, which is below every published per-seat CRM price in the UAE set except REM.

The discipline that matters more than the bracket: write down what you pay for each of the six categories, with the renewal date next to it, on one page. Most Dubai brokerage owners cannot produce that page on request, and the ones who can negotiate better.
